Overview

Access Bank's treasury and banking operations ran on manual processes; GL reconciliation, KYC onboarding, and account opening were all paper-driven or spreadsheet-based. The end-of-day GL reconciliation alone consumed over 8 hours of analyst time per cycle, delaying overnight reporting to Finance and Senior Management. I was engaged to lead the RPA requirements and implementation coordination across three core banking operations on ProcessMaker and UiPath.

Challenge

The GL reconciliation process involved extracting data from the core banking system, cross-referencing against general ledger entries, flagging exceptions, and producing a reconciliation report. Done manually, this took a team of analysts over 8 hours every day. Any errors identified late in the process could not be corrected until the next cycle, compounding the impact of even small mistakes.

Beyond GL reconciliation, KYC onboarding for new accounts required manual verification against multiple databases, and account opening involved form data being re-entered multiple times across different systems. Each process was a separate automation opportunity, but they shared common pain points: high manual effort, error-prone data entry, and delayed downstream reporting.

My Approach

I mapped the as-is workflow for each process using BPMN, identifying automation candidates at each step. For each bot, I authored a detailed bot specification: trigger conditions, input data requirements, processing logic, exception handling rules, and output formats. I then coordinated UAT with Finance, IT, and Audit stakeholders before deployment.

  • Mapped three end-to-end BPMN as-is processes: GL reconciliation, KYC onboarding, account opening
  • Authored RPA bot specifications for ProcessMaker and UiPath platforms
  • Defined exception-handling rules and escalation workflows for each bot
  • Coordinated cross-functional UAT with Finance, IT, and Audit teams
  • Led post-deployment performance monitoring for 30-day hypercare period
  • Documented 60% reduction in KYC manual processing time in Cameroon subsidiary
Outcome
GL reconciliation: 8 hours → 45 minutes (89% reduction) · KYC onboarding: 60% faster in Cameroon · Near-zero manual keying errors · Same-day overnight reporting enabled
